For fleets running Transit vans, F-Series trucks, or E-Series chassis, this matters. Repairs completed to Ford's specifications protect residual value, preserve factory warranties, and give your risk manager clean documentation. Non-certified shops may use alternative repair procedures that deviate from what Ford Engineering designed for those vehicles.
What happens when you call
Call (719) 667-2900 and ask for our fleet services coordinator. The coordinator will collect basic information about your fleet size and vehicle types, then schedule an in-person walkthrough or phone consultation to go over your account structure.
Once your fleet account is established, the process for each repair is straightforward. Your driver or fleet manager calls or emails the coordinator, describes the damage, and schedules drop-off. We write the estimate, submit it to your insurer or send it directly to your billing contact, perform the repair, and contact you when the vehicle is ready. You are not handed off between departments or left waiting for a callback from whoever happens to answer the phone.
How costs are determined
Fleet repair costs are based on the same factors as any collision repair: the scope of structural and cosmetic damage, OEM parts pricing, and labor time. What is different for fleet accounts is billing. Phil Long offers consolidated monthly invoicing, so you receive a single statement covering all vehicles repaired that month rather than individual invoices per vehicle.
For vehicles covered by commercial auto insurance, Phil Long works directly with the insurer and handles the claim paperwork. For self-insured fleets or high-deductible plans, we bill your accounts payable contact on the schedule you set up during account enrollment.
Timelines and turnaround
Turnaround time depends on the extent of the damage, parts availability, and how many vehicles are in the queue. Minor collision repairs, door damage, and bumper work typically take two to four business days. Structural repairs and larger jobs run five to ten days depending on parts lead time.
Fleet accounts receive daily status updates on any active vehicle. If parts are delayed or a hidden damage discovery extends the timeline, your fleet coordinator contacts you the same day. We do not wait until pickup day to share news that should have come three days earlier.
Insurance and billing
Phil Long works with all commercial auto insurers. We handle direct repair program (DRP) coordination, supplement filing, and insurer communication. Under Colorado's Right to Choose law, you have the legal right to select your own collision repair facility regardless of what your insurer recommends. Fleet managers can designate Phil Long as the preferred repair facility for all covered vehicles, and we will handle the documentation to support that designation.
For vehicles not covered by insurance, direct invoicing is available. Fleet account holders can set net-30 billing terms during account setup.
